The Reports tab of the print panel creates printed reports from your breakdowns and schedule. You can use them to give each department exactly the information it needs. This article explains each report and its options.
For an overview of the print panel, including how to open it, print to PDF and set the page size, see Printing Schedules.
Choosing a Report
At the top of the Reports tab, choose:
- Report Type: Category Work Report, Category By Day Report, Element Detail Report or Breakdown Sheets
- Category: The category the report is about, such as Cast, Props or Vehicles. Breakdown Sheets include every category, so this option is grayed out for them.
- Board: A single board from your current scenario, or “Combined Boards” to report on every board in the scenario together
Reports use the elements in your breakdowns, so make sure your breakdowns are up to date before printing. See Adding Data to a Breakdown and Category & Element Fundamentals.
Category Work Report
The Category Work Report is a table of every element in the chosen category, along with its Day Out of Days totals. It’s a quick way to see how many days each cast member works, holds and so on, without printing the full Day Out of Days grid.
The report has these columns:
- Element: The element’s name
- Fitting, Rehearsal and Travel: The number of days the element has each of these calendar events. See Creating and Managing Calendar Events.
- Work and Hold: The number of work and hold days
- Start and Finish: The element’s first and last work dates
- Total: The element’s total days
These are the same totals you see in the Day Out of Days. See Day Out of Days Overview.
Hide Non Working: Turn this on to leave out elements that have no work days on the selected board.
Category By Day Report
The Category By Day Report lists every shooting day, with the shoot day number and full date, followed by all of the elements from the chosen category that are needed that day and a total count.
For example, choose the Props category to give your props department a day-by-day list of everything they need to have on set. Choose Cast to see who’s called each day.
Element Detail Report
The Element Detail Report prints a page for each element in the chosen category, showing:
- The element’s name and ID number
- Scenes: Every scene the element appears in
- Sets: Every set the element appears on
- Dates: The element’s start date, finish date and number of work days
This is ideal for handing each cast member, or each department head, a summary of exactly when and where they’re needed.
Hide Non Working: Turn this on to leave out elements that don’t work on the selected board.
Breakdown Sheets
Breakdown Sheets print a full page for each strip on the board, in board order. Each sheet shows:
- The scene number, INT/EXT, set, day/night and page count
- Description and Comments
- Script Page, Script Day, Unit, Location, Sequence, Duration, Start Time and Episode
- Every element in the scene, grouped by category with their ID numbers. The categories are laid out in three columns in portrait or four columns in landscape.
Exclude Banners & Days: Turn this on to skip banners and day breaks, so you only print sheets for your scenes. See Creating Banners and Adding Day Breaks.
Tip: To print breakdown sheets for just a few scenes, move those strips to their own board, or print the board and choose the pages you want in your browser’s print dialog.
Header, Page Numbers and Print Date
Every report page includes your Reports header at the top, page numbers such as “Page 3 of 12”, and the date and time it was printed at the bottom. The header can include variables, such as {print_report_category_name} to show the category you’re reporting on. Click the info icon next to the header field to see them all, or see Using Variables.
The Reports header is saved with your schedule and is separate from the Boards and Day Out of Days headers.
Page Options: Choose Portrait or Landscape and the page size (Letter, Legal, Ledger or A4). Larger pages and landscape layouts fit more rows on each page.
Printed reports turn your breakdowns into paperwork your departments can act on, so everyone knows exactly what’s needed and when.
